• Let's start with the data entry:
    • Hand out registration forms to parents and have them fill out information. I would suggest holding a registration day where parents can come in with their kids. Then, you can take care of taking pictures and entering data all at once.
  • Prepare for the first day:
    • By holding a registration day, you can print ID cards ahead of time and have them ready for the first day. SafeSoundKids generates the ID cards as a printable webpage. You can then print them with a standard laser or inkjet printer. From then on it’s your choice. Most people like to laminate them and attach them to a lanyard for easy access.
  • Here come the kids:
    • Give them an ID card and watch their faces glow with excitement.
    • Have them place their card under the barcode scanner and watch as SafeSoundKids does the rest. You can choose whether SafeSoundKids sends an email or text message to parents upon check in!
    • At the end of the day, simply scan the card again and that’s all there is to it.
  • After the kids go home:
    • This is where SafeSoundKids plays a crucial role in the operation of your children's program. Start by checking the main report with answers to questions like: “How many kids were here today?” “How late did kids stay?” “How many volunteers did I have today?” Then, how about sending a thank you email to all of those volunteers. Let SafeSoundKids gather all the emails of just the volunteers that checked in and send them an email. Similarly, maybe you need to send a reminder to all the parents. SafeSoundKids can handle that too!
    • But wait, there is even more! You can go back and edit child and volunteer hours if a check in/out was missed. Also, you can get accurate-to-the-minute reports of hours put in by volunteers in case there is a need for it.
    • SafeSoundKids also keeps track of all your birthdays for both kids and volunteers in case you need to throw a party (not that you really need a reason)!
